Very informative! The process is not much simpler (and quite similar) for many of the IEEE CIS conferences

There's so much more joy in locating/planning the smaller conferences. But I suppose that the big ones are quite satisfying to see come together from the initial concept to the main event. So many people volunteering so many hours and ideas!

This is fantastic transparency about conference organization. I've chaired/co-chaired two international conferences (with entirely different funding/governance model) and recognize a lot of similarities and differences. And yeah, the venue food generally sucks..

I have to admit -- reading this essay makes me curious about the costs of various format choices. For example, how many more (and cheaper?) venues would open if we (say) had different distributions of numbers of sessions, or fewer keynotes, or ...

That's the next post I plan to write. We have talked at length about some of these decisions and tradeoffs. Keynotes are nothing compared to the built-in costs at the venue. We spend more on powering the outlets. The exhibit hall on the other hand...

Thank you for the insight and transparency. Would be interesting to see how environmental impact might figure into future selection decisions (inc. format and scale).

Very informative. Thanks! I wonder if there is any plan to include Africa and Latin America in the schedule. Also, is it possible to factor in the unequal hurdles to get visa in some NA and EU countries?

Yes to considering both Latin America and Africa. Visas are a tougher problem and we have considered the differences in similar regions. Like with Canada vs the USA, there are tradeoffs. Moving around at least spreads the disadvantage around a bit too.
