it's hard to plan sometimes since no matter what incentives we give out to early reg, 80% of our registrations come in the final 2 weeks. hotel block was only 20% filled at the beginning of aug, and in the 2nd to last week before the event, overbooked enough to add another hotel
I understand that, but I'm curious why you cant have two drafts of schedules made up and sent to top players for two expected entrants number (lets say ~500 and ~1000)?

Because people will miss their pool looking at the other schedule. Or incorrectly tweet / talk about the other schedule, causing public confusion Putting out more than one possible schedule is generally a (very) bad idea

Very much agree with this, avoiding possible miscommunications with schedules is paramount & still hard to get 100% correct). What Genesis does instead is to end registration earlier than other tournaments in order to make schedules earlier (but still take emergency reg)

Less than 10 of the top 50 of each game signed up prior to EVO. Behind the scenes, seeding has probably been changed like 30 or 40 so times in the month of august when someone that can influence bracket joins.

Also won't name names, but homie clauses were cool maybe when this all started 10 years ago. But having a lot of top players just messaging last minute going "hey, is reg still up? help a homie out" like a day or 2 after reg closes is getting really disruptive

When we started all this 2016, naive me envisioned an utopia where we could close reg at the end of July (just after EVO) and have a full month with a locked bracket, so we can smooth things out. Then EVO moved to Aug, and no one wanted to commit until after EVO was over.
