  10. Outdoor venues always call for weather contingency planning. Can't avoid it. Remember real-time changes take time to execute. Plan for it.
  11. Identifying dependencies and contingency planning is VERY important. These should be centrally communicated to all participating vendors.
  12. Also, during walk thru, think INTEGRATION... consider all components and how they will interplay during your event.
  13. Be prepared for a walk thru. Try to formulate a vision of what you expect to see as far as equipment placement, audience perspective, etc.
  14. During a walk thru, we will encourage clients/planners to take the lead in sharing their vision in the context of the event space.
  15. Make a distinction between the purpose of a "WALK-THRU" and a "SITE SURVEY"...
  16. Always ask your A/V vendor what the site survey revealed and how it may affect things. Event planners may find the data helpful for future.
  17. A site survey typically can be done by the a/v vendor independently... many times in cooperation with facilities management and engineering.
  18. Info gathered during the site survey will influence the overall A/V design and A/V logistics plan for your event; it should happen early on.
  19. During the site survey, your A/V vendor will check things like available electricity, ceiling heights, load in path, room lighting, etc.
  20. For more complex events, expect your A/V vendor to perform a site survey. it will serve as a feasibility study relative to the A/V plan.
